1. Definitions
- "Quartzen", "we", "us", "our" — the workshop business operating at 31 Persiaran Greenhill, 30450 Ipoh, Perak, Malaysia.
- "Client", "you", "your" — the person engaging Quartzen for a watch repair service or requesting information via this website.
- "Service" — any watch cleaning, regulation, bench service or restoration commission arranged with Quartzen.
- "Scope Document" — the written description of work, agreed cost and estimated timeline prepared before bench work begins.
- "Agreement" — these Terms & Conditions together with any Scope Document agreed between the parties.
2. Acceptance of Terms
By submitting a watch for service or submitting our website contact form, you confirm that you are at least 18 years of age, have the legal capacity to enter into a binding agreement, and accept these Terms & Conditions.
Where a watch is submitted on behalf of another person, you represent that you are authorised to make decisions regarding that piece.
3. Service Description
Quartzen provides three categories of watch repair service from its workshop in Ipoh, Perak:
- Cleaning, Regulation & Fresh Gaskets (QZ-A)
- Full Bench Service with Parts Renewal (QZ-B)
- Archive Restoration Commission (QZ-C)
Services are provided at the Ipoh workshop only. Drop-off and collection is arranged directly with the workshop. Postal submissions are not accepted.
4. Client Responsibilities
- Provide accurate information about the watch and its known history at intake.
- Confirm that you are the owner of the watch or have authority to authorise repair work.
- Review and sign the Scope Document before work commences.
- Respond to communications from Quartzen within a reasonable time, particularly where scope changes arise during the service.
- Collect the watch within 30 days of being notified that the service is complete. Storage beyond 30 days may attract a nominal holding fee, which will be communicated in advance.
5. Intellectual Property
All content on this website — including text, graphics, the Dial Cartography design system, and service documentation formats — is the property of Quartzen and may not be reproduced, adapted or distributed without prior written consent. The service records, timing reports and archival folders produced during a service are provided for the client's personal use and remain the intellectual property of Quartzen in format.
6. Payment Terms
- All prices are quoted and invoiced in Malaysian Ringgit (RM).
- Payment for QZ-A and QZ-B services is due in full on collection.
- QZ-C Archive Restoration Commissions require a deposit (agreed in the Scope Document) on acceptance of the proposal. The balance is due on collection.
- Accepted payment methods: cash, bank transfer (FPX), and major debit cards.
- The invoice will not exceed the agreed scope price without prior written notification and client agreement. Additional work identified during the service is communicated before it is carried out.
- Uncollected watches held beyond 60 days with no client contact may be disposed of in accordance with Malaysian law, following written notice to the last known contact details.
Cancellations: QZ-A and QZ-B services may be cancelled at any point before bench work begins at no charge. Once work has commenced, reasonable costs incurred to that point may be charged. QZ-C commissions may be paused at any stage; deposits are non-refundable where work agreed in the proposal has been completed.
7. Service-Specific Terms
Scope changes: If inspection during a service reveals conditions not apparent at intake (e.g. worn jewels not visible externally), Quartzen will contact the client before proceeding with additional work. The client may accept the revised scope, limit the work to the original scope, or collect the watch in its current state.
Surface work: Case polishing, crystal replacement and dial restoration are carried out only on explicit written request. On QZ-C commissions, no surface is approached without signed agreement.
Parts: Renewed parts are sourced from established suppliers. Where original parts are unavailable, matched alternatives are proposed to the client before use. Removed original parts are returned to the client on request unless they are damaged beyond retention value.
Timelines: Quoted turnaround ranges are estimates based on workshop queue and parts availability. Quartzen will communicate any material delay before the quoted deadline passes.
8. Disclaimers
Watch repair involves mechanical work on components that may be aged, worn or of uncertain origin. Quartzen applies professional standards of care to every service, but does not warrant specific rate accuracy or fault-free running beyond the conditions described in the service record.
Pre-existing conditions (hairline cracks in ébauche components, hidden corrosion, fatigue not apparent at inspection) may become apparent during service. Quartzen will notify the client of any such discovery and propose a course of action.
9. Limitation of Liability
To the extent permitted by Malaysian law, Quartzen's total liability for any claim arising from a service shall not exceed the price paid for that service. We are not liable for indirect, consequential or special damages, including loss of enjoyment, sentimental value or market depreciation.
This limitation does not apply to claims arising from our negligence or wilful misconduct.
10. Indemnification
You agree to indemnify Quartzen against any claims, losses or expenses (including reasonable legal fees) arising from your breach of these Terms or from any false representation made at intake regarding ownership or authority over the submitted piece.
11. Termination
Either party may end a service agreement before bench work commences without penalty. Once work has begun, the provisions in Section 6 (Payment Terms) regarding cancellation costs apply. Quartzen may decline to accept or continue a commission if there are reasonable grounds to doubt the client's ownership of the piece or good faith in the arrangement.
12. Dispute Resolution
These Terms are governed by the laws of Malaysia. Any dispute will first be addressed through direct negotiation. If not resolved within 30 days, the parties may refer the matter to the Consumer Claims Tribunal Malaysia or seek resolution through the courts of Perak.
Clients with complaints about our services may also contact the Domestic Trade and Cost of Living Ministry (KPDN) of Malaysia.
13. General Provisions
- Entire agreement: These Terms together with the Scope Document constitute the full agreement for the relevant service.
- Severability: If any provision is found unenforceable, the remainder of these Terms continues in effect.
- Waiver: A failure to enforce any provision at a particular time does not constitute a waiver of that provision.
- Assignment: You may not assign rights or obligations under these Terms without our consent. We may transfer our obligations to a successor business without restriction.
14. Changes to Terms
We may update these Terms from time to time. The effective date at the top of this page shows when the current version took effect. Material changes will be noted on this website. Continued use of our services after an update constitutes acceptance of the revised Terms.
